Secretarial and Administrative Support - Vacancies

  • Administrative Assistant, Business Services Department, Ref: AA/BS/SM/JAN17

    Leigh Day, an award winning, specialist law firm is seeking to hire x 2 Administrative Assistant for the General Office team.

    This is a busy and interesting role and the successful candidate will be assisting the Facilities Team with a wide variety of tasks. Duties include:-

    -    Providing relief cover for reception/switchboard;
    -    Photocopying;
    -    Dealing with postal duties;
    -    Providing assistance to the Outdoor Clerk;
    -    Looking after office stationary (checking stocks and ordering as necessary).

    Candidates should be presentable, have good customer service skills and a clear speaking voice. There is also some lifting and shifting involved and therefore candidates need to be fit and able to tackle manual handling tasks. The successful applicant will be adaptable and able to manage assigned tasks in an assertive, efficient and timely manner. Along with strong communication skills, candidates should be pro-active, friendly and energetic. Experience in a legal practice or other professional services organisation would be advantageous.

    This is a busy and challenging role and the successful candidate will be working in a team of 3 and be the first point of contact for our clients and other members of the public visiting our offices. It is essential that the role holder correctly projects the image and ethos of the firm at all times.  This role will require a wide variety of tasks. Duties include:-
    •    Running a busy switchboard and reception area.
    •    Ensuring the tidiness and a good standard of housekeeping in the reception, meeting rooms, facilities and other client areas.
    •    Setting up meeting rooms, ordering and preparing catering and refreshments for client and internal meetings, seminars, breakfast and evening functions.

    Candidates should be well presented, articulate with a clear speaking voice and have exceptional customer service skills. The successful applicant will be adaptable and able to manage assigned tasks in an assertive, efficient and timely manner. Along with strong communication skills, candidates should be pro-active, friendly and have a welcoming personality. S/he should be able to remain calm, patient and polite under all circumstances.     Leigh Day is urgently seeking a Team Co-ordinator to assist a Partner in our International and Group Claims department. The successful applicant will hold a responsible position providing secretarial and litigation support to the Partner.

    The role involves proactively taking control of and managing all the administrative non-legal work of the team in general and of the supervising Partner specifically.  The successful applicant will facilitate the efficient delivery of legal fee-earning work, including the organisation of the team’s electronic and paper case files, overseeing the diaries of team members, drafting documents, liaising with clients, experts, counsel and generally providing organisational and administrative support. There will be extensive support in coordinating international travel arrangements for the team, including visas, security, flights, hotels and general support to colleagues, who regularly travel.

    The ideal candidate must have previous legal administrative or secretarial work experience in a law firm. The successful candidate will be conscientious, extremely well organised with excellent IT skills. Excellent literacy and communication skills are also essential.
